Project Overview

The objective of WorkSafe Health and Safety Week was to create active engagement with the Victorian community informing and educating employers, workers and the community to assist in meeting their obligations under the health and safety and workers compensation legislation.

In conjunction with WorkSafe, Immediacy devised a strategy for the 2015 event based on learning the latest, sharing ideas and showing best practice. The goal was to provide an immersive experience designed to influence behaviour, facilitate knowledge transfer and provide the tools to make improvements in the workplace. The tactical execution for the event included a theme and design that conveyed the key messaging, working across all facets of the event.

The event identity, icons and visual language used the positioning statement 'Talk Safe.Think Safe.Work Safe'. The logo and colourways were developed and then industrial-looking stamp icons to represent the three dimensions to the statement. This was then applied to the pre-event EDMs, print collateral, foyer displays, directional signage, social media wall and screen design.

The result was a high quality event that delivered on the opportunity to provide an incubator of excellence, practical case studies and big picture analysis.

Project Brief

The objective was to build on the success of previous WorkSafe Health and Safety Week events and focused on:

- Using strong messaging and customised iconography to powerfully engage with the audience and reflect the nature of the conference
- Delivering the seminar content designed by WorkSafe in a vibrant and professional environment conducive to learning
- Creating ‘hubs’ in the foyer space that was contemporary, impactful and allowed for industry networking
- Scheduling and preparing professional MCs that kept the sessions relevant
- Being flexible with the delivery of material in the regional centres to meet localised needs

Technology was also leveraged enabling:

- Thorough delivery of the sessions
- Audience participation via social media ‘moments’
- Immediacy through the social media wall in the foyer
- Webcasting of some sessions to widen the audience

The objective of the devised theme, 'Talk Safe Think Safe Work Safe' was to have impact. It underpinned what needed to be achieved with the event including: Learn the latest; see the best; share the ideas and adopt new practices. It was all about informed, effective and safer workplaces in Victoria.

Project Innovation/Need

Impactful visual language contributes to the success of any event. Technical excellence and a smooth-running event should be a given yet the development of an insightful theme and creative execution should be the objective for every event designer. This ensures targeted communication and invaluable recalling of the key messages.

The management of Health and Safety Week focused on a bold design that was thoughtful and relevant to a varied audience. It was easy to be applied to the EDM campaign, the event elements in Melbourne and regional Victoria and on social media and on-line.

In 2015 the environmental signage was bigger, brighter and bolder than ever before at the Melbourne venue to navigate the 3000 plus delegates across three days and additional numbers in regional centres. Large banners became easy to see visual beacons and cost effective pillar wraps assisted in defining the foyer event space.

Given this is the premier event in the OH&S sector, the objectives of the event design, content, delivery and audience experience was required to:

- Build up knowledge
- Highlight best practice
- Drive behavioural and cultural change
- Encourage compliance

User Experience

The approach to the event identity and the injection of the strong theme and graphic design combined to a totally immersive and consistent audience experience.

The key theme, icons and design were seamlessly integrated in the pre-event promotion and registration process. Vibrant directional signage made it easy for attendees to locate the event areas, the foyer space was bright and inviting and the plenary and seminar rooms continued to carry through the event branding.

The main objective was that all of these elements contributed to a successful event to a standard that contributed to the good reputation of WorkSafe Victoria and the Victorian Government. There was positive anecdotal feedback from WorkSafe, their stakeholders and attendees in Melbourne metro and regional Victoria. A more formal survey is yet to be undertaken.

Sustainability

Immediacy observed sustainable practices such as sourcing materials ethically and considering the lifecycle of products through purchase and recycling. For example the foyer displays and directional signage were printed on recyclable material. Furniture and key infrastructure in the displays was minimal and hired. Some display needs were met using electronic devices such as iPads, avoiding the need for printed collateral.

The selection of venue is important to ensure it was centrally located and convenient for public transport. The crew touring regional Victoria did so with the required infrastructure and merchandise to reduce additional transportation requirements.

In terms of economic sustainability, the venue and all suppliers needed to comply with health and safety regulation and adhere to safe working ethics and WorkSafe Victoria practices.

Immediacy needed to identify and manage risks at the event to maintain the reputation of the WorkSafe Health and Safety Week and WorkSafe Victoria.
